As a Dispatch Coordinator at our Cranbourne branch, you will play a key leadership role in ensuring the smooth and efficient daily operation of our delivery functions and, at times, our yard operations. You will manage delivery runs, oversee and support yard duties, liaise directly with customers regarding delivery timings, and assist with yard stock control and replenishment.
Reporting to the Branch Manager, this is a hands-on role that requires strong organisational and communication skills to coordinate with drivers, yard teams and trade customers. You will be responsible for maintaining on-time deliveries, accurate stock movement, and a safe, well-organised yard environment. Your leader will provide ongoing coaching and development throughout.
This is a fast-paced, people-focused role that suits someone with a solid dispatch or coordination background, a proactive can-do attitude, and the leadership presence to guide the yard team every day.
RESPONSIBILITIES WILL INCLUDE
- Managing and coordinating daily delivery runs, ensuring efficient route planning and timely delivery of customer orders
- Managing delivery schedules and confirming delivery dates with customers for all direct-to-site orders
- Managing project builder orders within Frameworks, ensuring delivery dates, stages and order timelines are accurately maintained
- Maintaining accurate Purchase Order and Sales Order dates within Frameworks to support delivery scheduling and customer commitments
- Liaising directly with customers regarding delivery timings, back orders or changes to schedules
- Overseeing daily yard operations, ensuring workflow efficiency, task allocation and stock control are maintained
- Conducting load checks to ensure accuracy and safety of loading and unloading
- Assisting with yard stock management, including replenishment, cycle counts and reporting variances to the Branch Manager
- Providing leadership and guidance to the yard team, ensuring tasks are completed safely and efficiently
- Updating and maintaining delivery schedules, run sheets and truck inspection records
- Coordinating with warehouse staff to ensure customer orders are ready for dispatch on time
- Working collaboratively with the Branch Manager to identify and act on customer-focused opportunities
- Ensuring compliance with safety policies and company procedures across all dispatch and yard activities
- Reporting hazards, near misses and incidents promptly via Donesafe
- Living the 'Our Circle of Care' principles – See, Say, Listen, Stop – and looking out for the safety of yourself, your team, our customers and the community
QUALIFICATIONS AND SKILLS
- 3+ years' experience in a similar dispatch, coordination or logistics role within a trade or manufacturing industry (preferred)
- Current Forklift Licence (preferred)
- Drivers Licence
- Proven experience in dispatching, coordination or a similar leadership role (preferred)
- Understanding of the local Cranbourne market and delivery areas (preferred)
- Strong computer skills, including proficiency in dispatch software and MS Office Suite
- Excellent organisational and multitasking abilities, with a focus on accuracy and efficiency
- Exceptional communication and interpersonal skills, including phone manner and issue resolution
- Ability to work effectively under pressure and adapt to changing priorities
- Demonstrated leadership skills with the ability to motivate a yard team and set clear expectations
- Trustworthy, energetic and analytical, with a strong sense of integrity and a can-do attitude every day
